Email has almost changed the way of new age communication. Today most of all computer users communicate with their near and dear ones placed all over the world through email. We are now so addicted to it that even a minor email problem can hamper our daily work schedule.
Do not respond immediately – Check your inbox only once or twice a day. It is not at all necessary to check each and every email that comes to your mailbox. You can turn off ‘notify me’ option on the email software right now.
Do not use groups while sending all your mails- It is not at all necessary to reply all the emails you receive regularly. If you find it necessary to send an email to a particular group you should clearly mark it with either ‘for your information only’ or ‘ for your action’. It will help the receivers to understand the priority of your mail and they will feel the urge to go through it.
Save time using signature blocks – There are many email software that offer the facility of designing several signature blocks. You can use formal signatures like your name phone or fax numbers or job title for your external mail receivers. For your near and dear one you can be a bit informal. For them you can use funny symbols or just your first name at the end of your mails.
Do not loose the track of the subject – Sometimes when people keep replying to a message they get diverted from the original subject after a while. To avoid such situation you should give a proper title to the message that will indicate the content of the message. If you change the subject you should also mention it. If you wish to reply against the certain part of a message you can cut and paste the relevant section into a new message and reply. If the message is short your reply should also be short. You can type message in a different color so that one can identify it quite easily.
